Connect your estimator to Zapier

Send every completed estimate straight into your CRM, your email tool or a spreadsheet, automatically, without writing any code.

Priceguide has an official Zapier app. Accept the app invite, create a Zap with New Estimate (Instant) as the trigger, connect your Priceguide account, and test it. From there you can send the lead anywhere Zapier connects to, which is most things.

Before you start

  • A Zapier account. The free tier is enough for a simple one-step Zap. Multi-step Zaps and the Code step need a paid plan.
  • At least one estimate already submitted on your estimator. Zapier needs a real record to build against. If you have none, go and complete one yourself first, using a name and email you will recognise in the test data.
  • Your Priceguide login.
  1. Accept the Priceguide app invite

    Our Zapier app is shared by invite link. Open it, and log in or sign up to Zapier if you are not already.

    Accept the invite once. After that Priceguide appears in your app list like any other.
  2. Create a new Zap

    From your Zapier dashboard, start a new Zap.

    Zapier renames this button occasionally. Look for whatever starts a new Zap.
  3. Choose Priceguide as the trigger

    Search for Priceguide as the trigger app, then set the trigger event to New Estimate (Instant).

    Pick the Instant one. There are two options and this is the most common mistake on this page. The Instant trigger fires the moment someone completes an estimate. The other one polls on a schedule, so your leads arrive late.

  4. Connect your Priceguide account

    Click Sign in, log in with your Priceguide details, and allow Zapier access to your estimators.

    If you manage several brands or accounts, check you are connecting the right one. This is the second most common mistake here, and it is a quiet one because everything appears to work until the leads turn up in somebody else's Zap.

  5. Choose which estimator, if you want to narrow it

    On the Configure tab, Zapier triggers on any completed estimator by default. Pick a specific one from the dropdown if you would rather this Zap only handled one.

  6. Test the trigger

    Click Test trigger. Zapier pulls in a recent estimate so you can see the actual fields.

    Pick the test estimate you submitted yourself, so you can sanity check the values.
    What good looks like: you see fields including ID, URL, Name, Email, Phone and ZIP Code, with values you recognise from your own test submission.
  7. Add your action

    Now choose what Zapier does with the lead. Common ones:

    • Create a contact or deal in your CRM
    • Add the person to an email list
    • Post to a Slack channel
    • Append a row to a Google Sheet
    • Send yourself an SMS for speed to lead

    Follow the prompts for whichever app you pick, then turn the Zap on.

Read this before you map any fields. The standard trigger gives you the lead's contact details and a link to their results page. It does not give you what they actually answered, which services they chose, or the price they were shown. If you need that in your CRM, and most people do, follow getting full estimate data into Zapier. It adds one code step and gives you every question, answer and price as readable fields.

Do I need a paid Zapier plan?

Not for a simple trigger and one action. You do need a paid plan for multi-step Zaps, Paths and the Code step, which includes the full estimate data method.

Can one Zap handle several estimators?

Yes. Leave the estimator selector blank on the Configure tab and it catches all of them on that account.

Can I send different services to different places?

Yes, using Zapier Paths and the decoded service data. The full data guide covers routing rules with a worked example.

My CRM is not on Zapier. Now what?

Use a webhook. Here is how.

Will this break when I change my pricing?

No. The Zap reads whatever the estimator produces at the time, so re-pricing needs no change here.
