A step by step guide for agencies

This guide walks you through the fastest, cleanest way to get a new client live with a pricing estimator inside Priceguide, based on the workflow from the video.

Step 1: Log into your Agency Dashboard

When you log in, you’ll land on your agency dashboard where you can:

  • • See all clients in one place

  • • View lead volume and conversion rates

  • • Run an AI analysis on performance

  • • Turn clients on or off if they pause or cancel

  • • Delete a client if needed

This is your command center for managing multiple accounts.

Step 2: Add a new client

Click Add Client.

Best practice for agencies

When you’re setting up a client for the first time, use your own email address (or a team email) as the notification email.

Why this helps:

  • • You can test everything without bugging the client

  • • You can receive lead notifications while you QA the estimator

  • • You can switch notifications to the client later once it’s ready

You can reuse the same email address for multiple client accounts.

If you want the client to get their login right away

You can send the client signup link immediately, but only do this if:

  • • You’ve entered their real email address

  • • You’re confident the account is ready for them

If not, no worries. You can invite them later.

Step 3: Create the estimator using the client’s website

After the client account is created, click Add Estimator.

1. Copy the client’s website URL

2. Paste it into the builder

3. Click Analyze Website

Priceguide will pull key details like:

  • • Business name

  • • Phone number

  • • Basic business info and policies it can find

  • • The industry and service category

If it detects the business name slightly differently than what you typed, choose the correct one and continue.

Choose the market

Next, you’ll choose who the client mainly works with:

  • • Residential

  • • Commercial

  • • Other

Agency recommendation

For most service businesses, start with Residential first.

Reason:

  • • Mixing residential and commercial in one estimator often creates confusing pricing ranges

  • • It’s usually better to create a second estimator later for commercial if needed

If the client serves a very specific market (like schools), use Other and type it in.

Select the services to include

Priceguide will suggest services it finds based on the website.

Here’s the key rule:

Keep it to 1 to 5 services

You can technically select up to 10, but once you go past 5, people tend to drop off because there are too many choices.

What to do:

  • • Keep the list tight

  • • Remove anything the client doesn’t really sell

  • • You can reorder services later

If a service is missing

You can add a service manually, but you’ll likely need to add images for it later.

Generate the estimator

Click Generate Estimator.

This usually takes up to about a minute.

What’s happening behind the scenes:

  • • It loads a proven industry structure with polished questions, answers, and Learn More content

  • • It includes “I’m not sure” style options where helpful

  • • It personalizes language and pricing to the client’s location as a starting point

Now the estimator is live and ready to review.

Test it like a real customer

Before you publish it on the client’s website, do a full test run.

1. Open the estimator preview

2. Click through every step

3. Submit your name and email

4. Confirm the full flow works as expected

If it feels good, you’re ready to install it.

Step 4: Install it on the client’s website

Go to the Embed Code area.

You’ll have two options:

Option A: Embed on their site

Copy the embed code and add it to the client’s website.

This is the recommended approach because:

  • • The embed includes extra schema information

  • • That schema helps Google understand the services and that an estimator exists

  • • It supports visibility for Google’s “online estimates” style experiences

Option B: Use a direct link

You can also copy the share link and send people straight to the estimator.

This is useful if:

  • • You want to use it in email campaigns

  • • You want to use it in sales calls

  • • The client isn’t ready to edit their website yet

Step 5: Create an “Instant Pricing” page and menu link

For best results, give the estimator a proper home on the site.

Recommended setup:

  • • Create a page called Instant Pricing or Online Estimator

  • • Add it as a main menu item

Why this works:

  • • It’s easy for visitors to find

  • • It gives Google a clear page to index

  • • You can add supporting text and FAQs underneath the estimator

Step 6: Edit and polish the estimator

Go to Edit Estimator if you want to refine anything.

You can edit:

  • • Questions and answers

  • • Pricing ranges or percentage adjustments

  • • Images

  • • Learn More content

  • • Add videos per question

  • • Conditional logic to hide or show follow up questions

  • • Multi selection options

  • • Number inputs where needed

  • • Results page content and links

Pro agency move: Unlock optional content settings

As an agency, you can unlock deeper settings that many standard users don’t touch, including:

  • • The intro text and email wording

  • • Signature

  • • Custom links on the results page

  • • Disclaimers

  • • Data capture options

Step 7: Connect lead follow up (so results actually happen)

This is where agencies win.

Once the estimator is live, decide how leads should flow:

  • • Email notifications to your team or the client

  • • CRM connection (HubSpot, GoHighLevel, etc.)

  • • Zapier automation to trigger follow ups

  • • Text messages or email sequences after completion

The estimator is not just a pricing tool.
It’s a lead qualification and automation trigger.

Step 8: Co-branded vs fully white-labeled

There are two common ways agencies run this.

Co branded

Client logs in and sees:

  • • Priceguide branding plus your agency branding

Benefits:

  • • Your client can access the dashboard

  • • They can use the help docs

  • • They can chat with support

  • • Priceguide can help support your client alongside you

Fully white-labeled

Client does not log in. You manage it for them.

Benefits:

  • • No Priceguide branding shown

  • • Cleaner experience if you run everything inside your own systems

  • • Great if leads already flow into GoHighLevel or your CRM

  • • Less risk of the client “messing things up”

Step 9: Set up white-label email and subdomain (optional)

If you go fully white-labeled, you can set:

  • • A custom subdomain (so it doesn’t look like app.priceguide.ai)

  • • A sending email address so notifications come from your domain

This requires adding a few DNS records.

To set it up:

  • • Email support with the domain and email you want to use

  • • The DNS changes typically take up to about 48 hours to fully propagate

Your simple agency launch checklist

Use this every time you onboard a new client:

 

  • Create client account using your email first

  • Build estimator from the client website

  • Pick one market type (usually residential)

  • Select 1 to 5 services max

  • Generate estimator

  • Full test submission

  • Embed on a dedicated Instant Pricing page

  • Add page to the main menu

  • Add supporting text and FAQ under the embed

  • Connect CRM and automation

  • Switch notifications to the client when ready

  • Decide on co branded or fully white labeled setup
